As our Executive Assistant, you'll be right by Paulina, our CEO, and other managers, handling all kinds of administrative tasks. If you love having a lot of freedom and enjoy solving different problems and challenges every day, this role is for you! Going into more detail, you’ll:

👉 Manage the CEO’s calendar and communications;
👉 Handle both internal and external communications with team members, business partners, and clients;
👉 Organize business meetings, trips, and webinars;
👉 Support HR activities by processing employee onboarding paperwork and updating employee files;
👉 Draft emails and other business documents as needed;
👉 Prepare presentations, surveys, and reports;
👉 Keep our company’s Notion, website, blog, and social media profiles updated;
👉 Test and implement new tools, methods, and processes to improve your and your team’s productivity;
👉 Manage company expenses and P&L;
👉 Handle other ad hoc tasks to ensure smooth workflow and reduce the CEO’s workload.
Here’s an example of a task so you know what you’ll be dealing with :)
Our lead psychometrician is coming to Warsaw, and we want to record educational materials for five hours. You organize the entire trip (book hotels, transport, etc.), research and create a list of subjects to cover, find and book a recording space, ensure we have all the necessary equipment, and edit or find someone to edit the materials. Then you create a publication plan for all our platforms (blog, social media, etc.) and publish the materials.

You're a perfect match if you:

👉 Are naturally curious;
👉 Enjoy helping people, solving problems, and learning new skills;
👉 Are fluent in written and spoken English and Polish;
👉 Have excellent organizational and attention-to-detail skills;
👉 Are resourceful and maintain a can-do attitude;
👉 Are self-motivated and comfortable working with minimal supervision;
👉 Have prior experience as an executive/virtual assistant, office manager, or people specialist;
👉 Proactively look for ways to optimize your and others' work using tools like Canva, Notion, ChatGPT, and Google Workspace.
